How to transcribe a Zoom meeting

Getting an accurate transcript of a Zoom call used to mean frantic note-taking or rewatching recordings. Noter AI handles it automatically — either by joining your meeting as a bot, or by recording audio directly on your iPhone.

Updated June 2026

Two ways to transcribe Zoom

Option 1 — Meeting bot. You paste your Zoom link (or connect your Google or Outlook calendar) and Noter AI sends a bot to join on your behalf. The bot records the call, then the app produces a full transcript with speaker labels, timestamps, an executive summary, and extracted action items. You stay present in the meeting without juggling a notes document.

Option 2 — Record on your iPhone. If you prefer not to use a bot, open Noter AI on your iPhone, start a new recording, then join Zoom on your laptop or another device. The app captures the audio from your room. After the meeting, it transcribes and summarises everything the same way.

How to transcribe a Zoom meeting using the bot — step by step

This method works entirely from your iPhone or iPad. The bot joins the Zoom call for you, so your hands stay free.

  1. 1Download Noter AI from the App Store and sign in with Apple.
  2. 2Tap New Meeting and select Meeting Bot.
  3. 3Paste your Zoom meeting link — the full URL from your invite — into the field provided. Alternatively, connect your Google or Outlook calendar and pick the meeting from your upcoming events.
  4. 4Tap Join. The bot enters your Zoom room as a participant named "Noter AI" (or similar). You'll see it listed in the participants panel.
  5. 5Run your meeting normally. The bot records audio and video for the duration.
  6. 6When the meeting ends, the bot leaves automatically. Your transcript appears in the app within a few minutes.
  7. 7Open the transcript to review speaker-labeled lines and timestamps. Tap any line to jump to that moment in the synced audio playback.
  8. 8Read the executive summary at the top, then scroll to action items — each one is automatically assigned to the person who mentioned it.
  9. 9Use AI Chat to ask follow-up questions: "What did Sarah say about the Q3 budget?" or "List every decision made in this call."
  10. 10Export as PDF, Word (.docx), or plain text — or copy rich text directly into Slack, Notion, or email.

How to transcribe Zoom audio recorded on your iPhone

This approach is handy for in-person rooms, hybrid setups, or when you want a backup recording without adding a bot participant.

  1. 1Open Noter AI and tap the red record button — or add the widget to Control Center for one-tap access without unlocking your phone.
  2. 2Place your iPhone face-up near the speaker or in the centre of the table.
  3. 3Join your Zoom call on a laptop or another device and run the meeting normally.
  4. 4Tap Stop when done. Your iPhone recording uploads and is transcribed in the cloud with full speaker labels and AI summaries.
  5. 5Export or share the result the same way as any other note.

Tips for the best Zoom transcript

A few small habits make a big difference in transcript accuracy.

  • Mute background noise. Ask participants to mute when not speaking — overlapping voices are the main cause of missed words.
  • Use a stable internet connection. The bot needs a reliable connection to record clearly. If your Zoom call drops in and out, so will the audio.
  • Identify speakers clearly. When someone joins the call, having them say their name once helps the AI assign the right speaker label.
  • Connect your calendar. Syncing Google or Outlook means you can launch the bot in one tap without copying a link every time.
  • Set a Siri shortcut. On-device recording can be started hands-free with a custom Siri phrase — useful when you're already presenting.

Languages and translation

Noter AI transcribes Zoom meetings in 18 languages: Arabic, Chinese (Simplified), Chinese (Traditional), Dutch, English, French, German, Indonesian, Italian, Japanese, Korean, Polish, Portuguese, Russian, Spanish, Thai, Turkish, and Vietnamese. It can also translate the transcript into any of those languages — useful for multilingual teams or international clients.

Transcription and AI processing happen in the cloud. Your audio and text are encrypted in transit and at rest. You can delete your account and all associated data at any time.

Frequently asked questions

Does the Zoom bot work without the host's permission?

The bot joins as a regular participant, so the host will see it in the participant list. It's good practice to let participants know the meeting is being transcribed — some organisations require explicit consent.

Can I transcribe a Zoom recording I already have?

Yes. Export the audio from your Zoom recording and import the file into Noter AI using the Share extension or by importing audio from the Files app. The app will transcribe and summarise it the same way.

Is the transcription accurate for accented English or non-native speakers?

Generally yes. Accuracy improves when speakers are close to a microphone and not speaking over each other. For meetings conducted entirely in another language, set that language in the app before recording.

Does Noter AI work on Android or Mac?

No — Noter AI is an iPhone and iPad app only (iOS/iPadOS). The meeting bot is launched from your iPhone, but it joins the Zoom call independently so your laptop stays free.

How much does it cost?

One subscription covers everything: $9.99/month or $49.99/year (about 58% cheaper than monthly).
