How to transcribe a Webex meeting

How the bot handles Webex
The process is the same as for Zoom, Teams, or Google Meet. You paste a Webex meeting link into the Noter AI app, and the bot joins your call as a participant. It records the audio for the full session. When the meeting ends, the bot leaves and your transcript appears in the app — usually within a few minutes.
The transcript includes a speaker label and timestamp on every line, so you know exactly who said what and when. On top of that, you get an executive summary, a detailed analysis, and a list of action items with the names of the people they were assigned to.
How to transcribe a Webex meeting — step by step
This takes about a minute to set up on your iPhone before the meeting starts.
- 1Download Noter AI from the App Store and sign in with Apple.
- 2Tap New Meeting and select Meeting Bot.
- 3Open your Webex calendar invite or meeting room and copy the meeting link. It will look something like `company.webex.com/meet/roomname` or include a numeric meeting ID.
- 4Paste the link into the field in Noter AI. If you've connected your Outlook or Google calendar in the app's settings, you can pick the Webex meeting from a list of upcoming events instead — no copy-paste needed.
- 5Tap Join. The bot enters your Webex meeting as a participant. Other attendees will see it in the participants panel.
- 6Join the Webex meeting yourself on your laptop or desktop. Participate normally — the bot handles the recording.
- 7When the meeting ends and the room closes, the bot leaves automatically. Check the app a few minutes later for your completed note.
- 8Open the note to see the verbatim transcript. Each line is tagged with the speaker's name and a timestamp. Tap any line to play back that part of the recording.
- 9Read the executive summary at the top for a quick overview of what was covered and decided.
- 10Scroll to action items — each task is listed separately with the name of the person who was assigned it during the conversation.
- 11Use AI Chat to ask anything: "What did James say about the contract renewal?" or "List all the decisions made in this meeting."
- 12Export the note as a PDF, Word (.docx), or plain text — or copy rich text to paste into email, Confluence, or Notion.
Recording Webex audio on your iPhone
If you'd rather not add a bot to the Webex room, you can record the meeting audio directly on your iPhone instead.
Open Noter AI and start a recording before the meeting begins. Join Webex on your laptop. The iPhone sits on the desk and captures the audio from the room — or from your laptop speaker if you're remote.
After the meeting, stop the recording. It uploads, transcribes, and produces summaries the same way as a bot recording.
The Control Center widget lets you start recording without unlocking your phone. The app also supports background recording, so you can check your notes or messages mid-meeting without stopping the capture. A Siri shortcut can start recording hands-free if you prefer voice control.
Getting the most out of Webex transcripts
A few habits that consistently improve transcript quality in Webex calls.
- Use good audio. Headsets and close-microphone setups produce cleaner audio than room speakers, especially in conference rooms with echo.
- One speaker at a time. Webex calls with multiple people speaking simultaneously are the hardest for any transcription system. Encourage a clear speaking order.
- Set the right language. If the meeting will be in French, German, Spanish, or another supported language, set that language in the app before starting — don't leave it on English.
- Connect your calendar. Linking your Outlook or Google calendar means you can trigger the bot in one tap from your upcoming events, rather than hunting for the link each time.
- Review action items immediately. The AI extracts tasks based on the language used in the conversation. Skimming them right after the meeting while context is fresh helps you catch anything that needs adjusting.

Webex meetings happen all over the world. Your audio and transcripts are encrypted in transit and at rest. Sign in with Apple is the only login method, so the app never sees your email address. You can delete your account and all associated data at any time from within the app.

Does this work with Webex free accounts?
Yes. The bot joins as a standard Webex participant, so it works regardless of your Webex plan — free, Starter, Business, or Enterprise.
Will the bot appear in the Webex participants list?
Yes. Other participants will see it listed. Best practice — and in many jurisdictions a legal requirement — is to let attendees know the meeting is being recorded before it starts.
Can I transcribe a Webex recording I already downloaded?
Yes. Export the audio from your Webex recording and import the file into Noter AI using the Share extension or the Files app. The app will transcribe and summarise it as if it were a new recording.
What if the Webex meeting is locked or requires a password?
Webex meetings that require a password or host approval to join may prevent the bot from entering automatically. In that case, use the on-device recording method instead — start recording on your iPhone and join the meeting normally on your laptop.
